Spring: order in January and February

Spring merchandise is outdoor merchandise. The industry's own spring picks in 2026 lean toward gear for when the weather turns: softshell vests, cotton baseball caps, seed-packet planting kits in a tin, mini garden tool sets and umbrellas. They are inexpensive, useful and seasonal, which is why they get used. Screen-printed caps and totes need screens burned per color, so a January order is the comfortable window; engraved bottles can go later.

Summer: order in March and April

Summer camps draw more than 26 million children and adults a year, across more than 12,000 day and overnight camps in the United States, according to the American Camp Association figures cited by PPAI in March 2026. A camp is a complete merchandise program in itself: a hat on the first morning, a lantern after dark, a bag to carry it all home, and a keepsake that survives into the school year. Company picnics and outdoor festivals follow the same list at adult sizes. Because camp sessions start on fixed dates, this is the season where a late order hurts most; a March order for June sessions is comfortable, an April order is still fine for engraved and transfer items.

Fall: order in June and July

Back-to-school and fall trade-show season overlap, and they use the same kit: notebooks and pens, backpacks, lanyards and badge reels, and one tech accessory. Engraved drinkware, boxed pen-and-journal sets, quarter-zips and blankets all need decoration plus a box plus an insert, and custom box sizes need a die. A September order gives time for a proof, a packaging proof and a photograph before shipping; a November order competes with everyone else's. Three rules that make the calendar work

1. One artwork file, one color story. Set the logo once per material (embroidery on fleece, engraving on metal, print on cotton) and reuse it every season. Setup is paid once per design and not again on reorders.

2. Order the next season when the current one ships. When spring caps ship in February, place the camp order. It removes the rush premium and the risk that the item is out of stock.

3. Decide the number before the item. Attendees, new hires, clients on the gift list: the count drives quantity breaks, and a real count ordered early costs less than a guess ordered late.
